The Part-Time Secretary Role

Your primary role of legal secretary is to provide direct support to our litigation team to enable them to operate at optimum efficiency. You are expected to use a high degree of self-management and initiative. This role is part-time and there is flexibility on how many hours you will be required to work and what these hours are.

The day-to-day

  • To assist clients with updates and enquiries on their matters in the absence of the fee earner
  • To proactively review and chase files to assist the team
  • Using initiative to ensure the teams matters are kept in order
  • Typing documents, letters, attendance notes, file notes & bills, via Bighand digitial dictation.
  • Use of Precedent for Windows to check/amend client data held on the accounting system
  • Use of Microsoft Office, Case Management, Oyez forms and other software applications, including use of auto text and document templates.
  • To administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the Office Manual.
  • To prepare mail and enclosures for despatch.
  • To make appointments, arrange meetings and to maintain an up-to-date diary for the team’s fee earners.
  • To attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care.
  • To ensure the confidentiality of all the firm’s and clients’ documentation and information.
  • To provide support to other secretaries/fee earners as required.

What experience do I need?

Previous experience as a legal secretary or experience of working in an alternative professional office with fast and accurate word-processing and audio-typing skills.

What skills should I have?

Excellent communication:  Your written and verbal communication skills must be at a high standard and you should be comfortable producing letters and other documents which are to be sent out to clients.   

Excellent inter-personal skills:  You should have the ability to establish and maintain a professional working rapport with both Clients and other members of the Firm.

Who will I be working with?

You will be supporting our growing litigation team which is made up of nine fee-earners and one legal secretary. You will be expected where necessary to support other fee earners across the firm.
