The Residential Team Secretary role

Your primary role of legal secretary is to provide support your allocated fee earners with the full range of conveyancing procedures from commencement to completion of transaction. In this role you are expected to use a high degree of self-management and initiative. In this role you will provide secretarial support in either our Braintree or Marks Tey offices to the Residential team.

The day to day

  • Supporting fee earners with freehold sale and purchase files, transfers of title, discharge and re-mortgage work
  • Dealing with clients, estate agents, mortgage lenders and solicitors at every stage of the transaction from initial instructions and noting interest, throughout the pre-exchange stage (under supervision) and through to completion.
  • Advising and keeping clients up to date with the progress of their transaction both via email and telephone contact.
  • Ordering searches where relevant
  • Using initiative to ensure the teams matters are kept in order
  • Typing documents, letters, attendance notes, file notes & bills, via Bighand digital dictation.
  • Use of Precedent for Windows to check/amend client data held on the accounting system
  • Use of Microsoft Office, Case Management, Oyez forms and other software applications, including use of auto text and document templates.
  • To administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the Office Manual.
  • To prepare mail and enclosures for dispatch.
  • To make appointments, arrange meetings and to maintain an up-to-date diary for the team’s fee earners.
  • To ensure the confidentiality of all the firm’s and clients’ documentation and information.
  • To provide support to other secretaries/fee earners as required.

What experience do I need?

Previous experience as a legal secretary acting for commercial clients and high net worth individuals.

What skills should I have?

Excellent communication:  Your written and verbal communication skills must be at a high standard and you should be comfortable producing letters and other documents which are to be sent out to clients.   

Excellent inter-personal skills:  You should have the ability to establish and maintain a professional working rapport with both Clients and other members of the Firm.

Who will I be working with?

You will be part of our growing Residential team and will support two fee earners and a paralegal (including the Head of Residential). You will be expected where necessary to support other fee earners across the firm.
